Data Migration

Data migration is the process of moving records such as customers, stock, balances and transactions from an old system, spreadsheet or database into a new one, cleaning and checking them on the way so that nothing is lost or wrongly counted.

What it means

Data migration is the careful move of your existing records into new software. The records might sit in Excel sheets, an old billing program, a Tally company file or a database on a computer in the back room. The new system has its own structure, so migration is never a simple copy: each field must be matched to its new home, cleaned, loaded and then checked.

Why it matters for your business

New software is only useful on day one if it already knows your customers, stock and balances. A badly migrated system produces wrong outstanding amounts, duplicate customers and stock that does not match the shelf, and staff quickly lose faith in the new tool. Most migration problems are not technical. They come from untidy source data that nobody cleaned: the same supplier spelt three ways, or phone numbers with spaces and country codes mixed together.

An example

A pharmacy in Madurai moves from an old desktop billing program to a system with batch and expiry tracking. The medicine list, supplier details and current stock by batch must come across, along with each customer's credit balance. The owner first exports everything, removes duplicate drug names, then loads a test copy and compares the closing stock value with the old report. Only when the totals match to the rupee does the pharmacy switch over, usually on a quiet day at the start of a month.

The usual steps

  1. List what exists, where it lives and who owns it.
  2. Clean the data: duplicates, blanks and wrong formats.
  3. Map every old field to a field in the new system.
  4. Load a trial copy and compare totals with the old reports.
  5. Freeze entries, load the final data and verify again before go-live.

How we handle it

On our inventory and ERP projects at VS Tech Builders, we plan the import of your existing data during discovery and test it against your own reports before go-live. The testing stage in our six-step process exists for this reason. Businesses such as pharmacies, where batch and expiry matter, gain the most from a clean import. Rushed migration is also one of the quieter causes behind failed ERP rollouts.

Common questions

Can you move data from Tally or Excel into new software?

Usually yes. Tally can export masters and vouchers, and Excel files can be loaded once their columns are cleaned and mapped. The effort depends on the quality of the data rather than the tool. We scope the import after reviewing a sample of your files, because that shows how much cleaning is needed and whether opening balances or full history should move across.

How do I know the migrated data is correct?

Compare totals, not just a few records. Match the number of customers, the closing stock value, the receivable and payable balances and last month's sales between the old reports and the new system. Then ask two or three staff to look up customers they know well. Do this on a trial copy first, and keep the old system untouched until you sign off.
