ERP (Enterprise Resource Planning)
ERP is a single software system that connects sales, purchasing, stock, accounts and staff records, so every department works from the same up-to-date data instead of separate spreadsheets.
An ERP is one piece of software that holds the records of your whole business in a single database. Sales orders, purchases, stock, invoices, payments and staff details all sit together, and every department sees the same figures.
What an ERP actually does
The "resource" in the name means anything the business spends or earns: money, material, machine time, people. An ERP is divided into modules for sales, purchase, inventory, accounts and HRMS, and an entry in one module updates the others. When the stores keeper issues material to a job, stock falls and the job cost rises without anybody typing the figure twice.
Why it matters for your business
Many Indian small and mid-sized firms run on Tally for accounts, Excel for everything else and WhatsApp for follow-up. That holds until the owner asks a question that crosses departments, such as which customers owe money and still have orders pending. In an ERP that is one report, because the data was never split. Our view is that ERP projects fail on scope more often than on technology: too many modules switched on at once. Why most ERP projects fail is worth reading before you sign anything.
An example from a workshop floor
Picture a Coimbatore workshop making pump components. Quotations sit in Word, purchase orders in a register and material issues in the stores notebook. The owner learns about a shortage only when a machine stands idle. A modest ERP with sales, purchase and stores modules would raise a purchase request when a job card opens and flag the gap well before the machine stops.
How we build ERP software
At VS Tech Builders we build custom ERP software one module at a time, and projects typically start around ₹85,000. Most businesses begin with the one or two modules that hurt most, such as inventory or billing, and add the rest as the team gets comfortable. If plain accounting is all you need, Tally may serve you better, and we will tell you so.
Common questions
How is an ERP different from accounting software like Tally?
Accounting software records the money side: vouchers, ledgers, GST and balance sheets. An ERP also covers the work that produces the money, meaning enquiries, orders, purchases, stock movement, production and payroll. Many firms keep Tally for statutory accounts and run an ERP alongside it for day-to-day operations, so each tool does the job it is best at.
Does a business with fewer than ten employees need an ERP?
Usually not. If one person handles billing, stock and accounts comfortably in Tally or a billing app, an ERP adds cost without adding clarity. The signs that it is time to look are friction signs: the same data typed in two places, stock figures nobody trusts, or the owner waiting on a person to produce every report. Fix the sharpest pain first with a single module.
