Solar installer software from first enquiry to AMC visit
Lead capture, site surveys with photos, quotations by kW, paperwork tracking, installation stages and annual service calls in one workflow.
Solar installer software follows each rooftop job from lead and site survey through quotation by kW, subsidy and net-metering paperwork tracking, installation stages and later AMC visits. We build it for installers who run several jobs at once and lose time to scattered photos, chats and follow-ups.
Where the day goes wrong
- 01
Leads lost in WhatsApp
Enquiries from ads, referrals and walk-ins sit in chats, and follow-up depends on whoever remembers.
- 02
Survey photos scattered
Roof photos, measurements and the sanctioned load are on one engineer's phone, and the quote is prepared from memory.
- 03
Quotes rebuilt every time
Each quotation by kW is rebuilt by hand, and the bill of materials in the quote differs from what is installed.
- 04
Paperwork nobody owns
Subsidy and net-metering steps stall because no one knows which document is pending and who must move next.
- 05
AMC visits missed
Service contracts and cleaning visits are tracked in diaries, so customers call when the panels are already dirty.
What we build for you
- 01
Lead capture and follow-up
Website form, WhatsApp and referral leads in one list, with follow-up dates and an owner for each.
- 02
Survey app with photos
Roof area, shadow, structure type and sanctioned load recorded with photos on a phone, offline.
- 03
Quotation by kW
Quotes built from your price list and bill of materials, sent as a PDF, with every revision kept.
- 04
Paperwork tracker
A document checklist and status for each approval step, with the next action and its owner named.
- 05
Installation stage board
Material dispatch, structure, panels, inverter, earthing and commissioning, each with a date and a crew.
- 06
AMC and service calls
Contracts, scheduled visits, complaint tickets and a service history for every installed system.
- 07
Website and enquiry page
A site that collects the roof and bill details up front, so each enquiry arrives with the facts.
From a phone call to a switched-on rooftop
A rooftop solar job passes through more stages than most home improvement work: enquiry, site survey, quotation, order, approvals, material delivery, installation, commissioning, and then years of service. Each stage involves different people, such as the sales executive, the surveyor, the paperwork clerk, the installation crew and the service team. When these live in separate chats and phones, jobs slow down at the handovers, and the customer feels it.
The survey is where the quote is won or lost
A good quote starts on the roof. The surveyor needs the usable area, the roof type, the direction, any shadow from tanks, walls or trees, the structure required and the sanctioned load on the electricity connection. If these sit in a notebook and in photos on a personal phone, the quote is prepared from memory a week later.
We build a survey app that records each of these with photos and measurements, works offline on a roof with poor signal, and attaches everything to the lead. The quote is prepared from the survey, not from recollection.
Quotation by kW with a bill of materials behind it
Customers ask for a price per kW, but a quote is really a bill of materials: panels, inverter, structure, cables, protection devices, earthing and installation. We keep your price list and component list in the system, so a quote for a given capacity pulls in the right items at current rates, and the same list becomes the installation checklist. If the installed system differs from the quote, the difference is visible rather than discovered at handover. Revisions are kept, so you can always show what was offered when.
Paperwork: track the steps, not the rules
Subsidy applications and net-metering approvals involve forms, documents and steps with the electricity board or distribution company and, where applicable, government portals. The rules, portals and timelines differ by state and change over time, so we do not hard-code them, and we make no claims about eligibility or amounts.
What we do is track your own process: a checklist of documents for each stage, the status of each application, the date it was last chased and who must act next. When a file stalls, the board shows where, and for how long.
Installation stages and the long tail of service
- Installation board. Material dispatch, structure, panel mounting, inverter, cabling, earthing and commissioning, each with a date, a crew and photos for the record.
- AMC contracts. Annual maintenance contracts with scheduled cleaning and inspection visits, reminders to the crew and a visit report for the customer.
- Service calls. Complaints logged against the installed system and its history, so the technician arrives knowing what was fitted and when.
Prices, plans and the first stage
A solar job management system with leads, surveys, quotations, paperwork tracking, installation and AMC typically starts around ₹85,000. A website that collects the roof and electricity bill details up front is the Standard plan at ₹20,999 in 14 days, or the Basic plan at ₹13,999 in seven days, and a survey Android app typically starts around ₹65,000. An installer with several crews across districts needs a fuller system, which starts near ₹1,50,000 and can reach ₹5,00,000.
Start with leads and surveys, because that is where most quotes are won. If you install only a handful of systems a year, spreadsheets and a shared folder are enough. Construction companies face the same site-stage problems, CRM software is the lead engine underneath, and offline-first app development explains the survey app. Show VS Tech Builders last month's quotes and survey notes, and the first stage can be scoped from them.
Frequently asked questions
Does the system know the current subsidy rules?
No, and we do not claim it does. Subsidy and net-metering rules, portals and timelines vary by state and change often. The system tracks your own process: the documents needed at each step, the status of each application, the date it was last chased and who must act next. You or your paperwork team set the checklist, and it can be edited when the rules change.
Can the quote be generated from the survey automatically?
Partly. The survey records roof area, structure type, sanctioned load and photos, and the quote screen suggests a capacity and bill of materials from your own price list and rules, which your engineer reviews and adjusts before sending. We do not promise savings or generation figures. Any estimate uses assumptions you set, shown clearly on the quote.
Can customers see their installation progress?
Yes, if you want it. Each stage you mark complete, such as structure done or inverter installed, can trigger a WhatsApp update to the customer, and a simple page can show the stages with dates and photos. The crew updates the stage from the Android app on site. Customers see only their own job, never other customers' data.
How do we handle AMC reminders for hundreds of systems?
Every installed system carries its AMC start date, visit schedule and service history. The system lists the visits due each week, assigns them to crews and reminds customers beforehand. After each visit the technician files a short report with photos from the app. A missed visit stays on the list until it is done or the reason is recorded, so none disappear quietly.
