Payroll Software
Payroll software calculates each employee's monthly pay from attendance, earnings and deductions such as PF, ESI and TDS, then produces payslips, bank transfer files and the figures you need for statutory returns.
What it does
Each month, payroll software takes attendance and leave, applies every earning and deduction in an employee's salary structure, and produces the net pay. For Indian employers that includes provident fund, ESI where it applies, professional tax where the state levies it, and TDS on salary. The outputs are payslips, a bank file for bulk transfer, and the figures your consultant needs for statutory returns. At year-end it supports Form 16, the TDS certificate employees need for their income tax filing.
Why it matters for your business
Payroll is the one process where a mistake is noticed by every employee within days. Rates, wage ceilings and slabs change by government notification, so the software must let you update rules yourself instead of waiting for a developer. It should keep an audit trail of what was paid and why, and protect salary data with proper access control. Excel can carry a small team on fixed salaries, but it breaks when exceptions multiply: a formula is overwritten, last month's file is copied wrongly, and nobody can explain a difference.
An example: a mill near Dindigul
Take a spinning mill that runs three shifts, with permanent staff on monthly salary and contract workers on daily wages. Overtime has its own rate, night shifts earn an allowance and advances are recovered in instalments. The accounts clerk rebuilds the sheet every month, and PF and ESI eligibility is checked by eye. Payroll software with these rules stored once calculates every category the same way each month, and the bank file replaces an afternoon of manual transfers.
How we use it
Payroll sits inside the HR and payroll software VS Tech Builders builds, fed by attendance from an HRMS module. Custom payroll pays off when pay structures are unusual: piece rates, shift allowances, contract labour or several units. The production side of a mill is covered separately in our software for spinning mills. For standard monthly salaries, a ready-made payroll service or your accountant's software is usually cheaper, and our article on choosing custom or ready-made software helps you decide.
Common questions
Does payroll software file my PF and ESI returns for me?
It prepares the numbers and usually the upload files, such as the EPF ECR file, but the filing itself happens on the government portals. Some software can submit directly, and many employers have an accountant or consultant do the upload. Do not assume automatic filing: confirm who files, by what date, and where the challan payment is recorded.
Why not keep running payroll in Excel?
You can, while the team is small and pay is simple. Trouble starts when exceptions pile up: new joiners mid-month, loss-of-pay days, arrears, advances and rate changes. One overwritten formula can pay a whole team wrongly before anyone notices. Software applies each rule the same way every month and records who changed what, which a shared spreadsheet cannot do.
