POS System (Point of Sale)
A POS (point of sale) system is the billing software and counter hardware where a sale is completed: it prices the items, takes the payment, prints the bill and updates stock and day-end totals.
What it means
The point of sale is the spot where the customer pays. A POS system is the software and equipment that run that moment: a billing screen on a PC, tablet or phone, usually a barcode scanner, a thermal printer and a cash drawer, and a way to take cash, cards and UPI. Behind the screen, the software records each sale, reduces stock and builds the reports you read at night. A good one also handles returns, discounts, GST-correct bills and several staff logins with different permissions.
Why it matters for your business
The counter is where money and stock leave the business together, so errors and leakage concentrate there. A POS speeds up queues, stops staff from quietly changing prices, and ties the day's cash to the day's sales so a shortfall is visible before closing. With several outlets, the owner can see every counter from one phone. It also feeds inventory and GST invoicing, which is why billing at the counter is usually the first thing worth computerising in a shop.
An example: a Salem bakery
Picture a bakery with three counters that sells packaged biscuits by barcode, cakes by the piece and sweets by weight, while the festival rush stretches every queue. Counter staff give discounts at will, and the evening cash never quite matches the register. A POS with weight entry, discounts that need a manager's PIN and a day-end cash reconciliation closes those gaps, and the owner reads each counter's sales hour by hour from home.
How we use it
We build custom POS and retail software for businesses whose pricing or workflow does not fit a ready-made product, such as bakeries and sweet shops that mix weighed and packaged goods. A POS that stops when the internet drops is a liability, so VS Tech Builders scopes offline-first billing that syncs later from the start. If you run a single counter with ordinary items, a ready-made app is the better buy, and we will tell you so. Weighing the two? See how custom billing software stacks up against Vyapar.
Common questions
Can a POS system keep billing when the internet goes down?
A well-designed one can. It stores bills on the counter device and uploads them when the connection returns, so queues never stop for a network fault. Many cloud-only systems cannot do this and simply freeze. Ask any vendor, including us, to demonstrate billing with the router switched off before you commit.
What hardware do I need to start with a POS system?
Less than most people expect. A PC, tablet or phone to run the billing screen and a thermal printer for receipts are enough to begin. Add a barcode scanner when you have many packaged items, a cash drawer when staff handle a lot of cash, and a weighing scale connection only if you sell loose goods by weight.
