Custom Management Software

Retail billing software that keeps the counter moving

Barcode and scale billing, UPI and split payments, loyalty and schemes, returns, day-close and GST invoices, across one shop or many outlets, working even when the internet does not.

POS and retail billing software is the system at the counter: it scans, weighs, prices, takes payment and prints the GST invoice, then feeds stock, loyalty and day-close reports. We build it for supermarkets, bakeries, pharmacies and small chains in India that need speed at the till, offline resilience and one view across outlets.

Who this is for

The counter is the test. A supermarket in Theni with three billing counters and six thousand items on a Saturday evening does not care about dashboards; it cares that scanning, weighing and taking a UPI payment never takes longer than the customer's patience. A bakery with four outlets and a central kitchen cares about something else: the same price everywhere, stock sent out each morning matched against what each outlet sold, and one view of the day at closing time. This page is for shops and small chains at that stage. A single counter with no loyalty programme and no second outlet is usually better off with a ready-made billing app, and the last section says which.

What we build

  • Fast billing screen: keyboard-first, barcode scan, search by code or name, weighing-scale integration for loose goods, hold and recall bills, and quantity edits without leaving the keyboard.
  • Payments: cash, card and UPI on one bill, split payments, a UPI QR printed on the bill, and payment confirmation where your gateway supports it.
  • Returns and exchanges: against a bill or without one, with the reason recorded and stock restored.
  • Loyalty: points, customer wallet, birthday offers and scheme discounts such as buy-two-get-one or slab pricing, applied automatically at the counter.
  • Day-close: cashier-wise shift reports, cash tally against the drawer, card and UPI settlement totals, and a closing summary sent to the owner on WhatsApp.
  • GST invoices: HSN codes, tax slabs, MRP versus selling price, and the invoice formats your auditor expects.
  • Multi-outlet: central price lists, outlet-wise stock, inter-outlet transfers, and a head-office view across every counter.
  • Offline mode: billing continues when the internet or the power backup fails, and the bills sync when the connection returns.

How it fits an Indian shop

Power and internet both fail at the worst moments, which is why offline billing is not an optional extra in our builds. The MRP printed on the pack is the ceiling the law expects you to respect, so the system stores it alongside your selling price. Thermal receipt printers in 58 mm and 80 mm sizes, USB and Bluetooth scanners, and serial weighing scales are the hardware we commonly connect; you buy them from any dealer. A customer who wants the bill on WhatsApp instead of paper gets it, which also saves paper rolls. Our GST invoicing software glossary entry covers what the invoice must carry.

How the build runs

We stand at your busiest counter for an evening before designing the billing screen, and that screen is the first thing you see in a demo. Stock and prices are imported from whatever you use now. Testing means one live counter running the new system beside the old for a week, with the two day-close reports compared. Outlets go live one at a time. The POS system entry in our glossary is a useful primer if your team is new to the vocabulary.

What it costs and why

A single-outlet billing system with GST, offline mode and basic reports typically falls between ₹50,000 and ₹1,50,000. Multi-outlet chains with loyalty, central stock and a head-office dashboard are complete systems in the ₹1,50,000 to ₹5,00,000 range. The drivers are the number of outlets and the number of integrations, including payment gateway, scales and accounting export. VS Tech Builders quotes a fixed scope, bills with GST, and hands over the source code on the final milestone, so you are never locked to us. Allow 8 to 12 weeks.

When not to build custom

A single shop with one counter, standard GST billing and no loyalty programme should buy a ready-made billing app and get on with trading; we lay out the trade-off in custom billing software versus Vyapar. Custom pays back when you have several outlets, scheme-heavy pricing, loose-weight goods, or a loyalty idea that no subscription offers. Supermarkets and jewellery stores each have a page of their own, software for supermarkets and software for jewellery stores, because weight-based gold billing and fast grocery billing are different problems. If stock control is the bigger pain, start with our inventory management software page instead.

Frequently asked questions

Does billing continue when the internet goes down?

Yes. The counter runs on a local copy of items, prices and customers, bills are saved on the machine and sync to the server when the connection returns. Loyalty points and stock at other outlets update after the sync, which is a known trade-off we explain during design. A power cut still needs a UPS; the software cannot help with that.

Which printers, scanners and weighing scales does it work with?

Standard thermal receipt printers in 58 mm and 80 mm widths, USB and Bluetooth barcode scanners, and serial or USB weighing scales from the usual Indian brands. We confirm your exact models during discovery and test them before go-live. You buy the hardware from any dealer; we do not resell it or mark it up.

Can a customer pay by UPI and have the bill mark itself as paid?

When the payment runs through a gateway that supports dynamic QR codes, yes: the bill shows a QR for that exact amount and marks itself paid when the gateway confirms. With a static shop QR, the cashier confirms manually after seeing the payment notification. We set up whichever your gateway and volume justify.

Do loyalty points work across all our outlets?

Yes. Customers are identified by mobile number, points and wallet balances are held centrally, and any outlet can award or redeem them once it is online. Offers can be chain-wide or outlet-specific. The head office sees redemption by outlet, which is usually the first report an owner opens after launch.

Can our auditor get the sales data into Tally?

Yes. Day-wise or bill-wise sales vouchers export in a format Tally imports, with GST split by rate, so your accountant continues as before. If you already bill from Tally and only want speed at the counter, we discuss whether a custom POS is worth it or whether a ready-made app is enough.
