A secure portal so people stop phoning you for status updates
Customer, vendor, student and employee portals with OTP logins, document uploads, live status, payments and notifications, connected to the systems you already run.
A web portal is a password-protected website where a defined group of people, such as patients, vendors, students or employees, log in to see their own records, upload documents, track status and make payments. We build portals for organisations that field a steady stream of these requests by phone, email and counter visits today.

- Typical range

What we build
- 01
OTP and password logins
A mobile OTP for occasional users, and passwords with two-factor authentication for staff and frequent users.
- 02
Personal records
Each user sees only their own reports, invoices, applications or documents, and nothing belonging to anyone else.
- 03
Document uploads
File type and size checks, version history, and a reviewer who approves or rejects with a reason.
- 04
Status tracking
Every request moves through named stages, with a WhatsApp or SMS update at each change.
- 05
Online payments
Bills, fees or deposits paid by UPI, card or net banking, with receipts issued automatically.
- 06
Staff back office
An internal side where your team processes requests, assigns work and manages permissions.
- 07
Links to existing systems
Records read from your billing, lab, HR or ERP software instead of being entered twice.
- 08
Access log
A record of who viewed, changed or downloaded each item, for audits and disputes.
Who this is for
A multi-speciality hospital in Madurai answers the same calls all day. Is my lab report ready? Can you send the discharge summary again? How much is pending on the bill? Has the insurance approval come through? Referring doctors in nearby towns ring to ask how their patients are doing. Each call pulls someone away from the front desk, and each report emailed as an attachment is a privacy risk. A portal gives every group its own login and answers those questions without a phone call. The same pattern fits a college fielding student requests, a manufacturer handling dealer orders and a transport company tracking consignments.
What a portal includes
- Logins that suit the user: patients sign in with their mobile number and OTP verification, because nobody remembers a password for a hospital they visit twice a year, while staff and referring doctors use passwords with a second factor.
- Personal records: lab reports, discharge summaries, bills and appointment history, visible only to the patient and to people the patient authorises.
- Document uploads: insurance cards, earlier prescriptions and referral letters uploaded once, checked by staff and filed against the patient record.
- Status tracking: an insurance pre-authorisation or a pending report moves through visible stages, with a WhatsApp or SMS message at each change.
- Payments: outstanding bills paid by UPI, card or net banking, with the receipt available immediately.
How it fits an Indian organisation
A portal here has to work for the least confident user, often a patient's son checking from a budget phone, so screens stay simple, text is large and Tamil sits beside English. Updates go out on WhatsApp and SMS because an email may never be opened. Since a portal holds personal data, consent records, access logs and collecting no more than necessary are designed in from the start, in line with the Digital Personal Data Protection Act. The portal usually reads from software you already run, such as the hospital or lab system, rather than replacing it; where that software has no interface, a scheduled export is often enough.
How the build runs
VS Tech Builders begins by counting: which requests arrive most often, from whom, and how long each takes your staff today. The first release covers the three or four requests that make up most of that load, not every feature anyone can imagine. Permissions get mapped next, because who may see what is the most important design decision in any portal. Development runs with weekly demos, testing includes people who have never seen the portal before, and launch happens with one department or user group before the rest. If the hospital has no central system for the portal to read from, our page on hospital management software covers what sits behind it.
Cost, timeline and payment terms
A portal with logins, records, uploads, status tracking and payments falls in the dynamic website band of ₹75,000 to ₹2,50,000 and typically needs 6 to 10 weeks from discovery to launch. Cost depends on the number of user types, how many systems the portal reads from, approval workflows with several steps, and the volume of documents stored. Payment is split into three milestones: 40 per cent to begin, 30 per cent at the midpoint and the final 30 per cent at handover, when the source code, database and accounts are transferred to you.
When you do not need a portal
If all you need is to send people a document, check whether your lab or billing software can already share reports by WhatsApp or email through a secure link; some can. If only your own staff need access, an internal admin panel is simpler and cheaper than a public portal. Our guide to static and dynamic websites explains where a simple site ends and a logged-in system begins, and our article on websites and apps for clinics and hospitals covers the healthcare side in more depth. Build a portal when several groups of outsiders need their own records, uploads or payments, and the phone calls about status have become a cost you can measure.
Frequently asked questions
How do occasional users log in without forgetting passwords?
They use a one-time password sent to the mobile number already in your records, so there is nothing to remember. Because the number must match an existing record, strangers cannot create accounts. Staff and frequent users, such as referring doctors or vendors, get a password plus a second factor, because their accounts reach more data and deserve stronger protection.
Can the portal show data from our current software?
Usually, yes. If your current system offers an API, the portal reads from it directly. If it does not, a scheduled export from that system into the portal's database works well for records that change a few times a day, such as reports or bills. We check this during discovery, because the answer affects both the cost and how current the portal's information will be.
What stops one user from seeing another user's documents?
Every request for a record is checked on the server against the logged-in user and their permissions, rather than merely hidden on screen. Files are stored privately and served through links that expire after a short time, so a forwarded link stops working. Access is logged, so if a question is ever raised you can show who opened what and when.
Can people pay bills or fees through the portal?
Yes. Bills, fees, deposits or renewal charges can be paid by UPI, card or net banking through Razorpay, matched to the right record, with a receipt generated automatically. Organisations that issue GST invoices can have them raised in their own series. Settlement reports then help your accounts team reconcile what reached the bank against what the portal recorded.
Do we need a mobile app as well as the portal?
Usually not at first. A portal built for phones works in any mobile browser and can be made installable as a progressive web app, so it sits on the home screen like an app. A native app becomes worth it when people use it daily, need offline access, or depend on push notifications for time-sensitive updates.
