College software that has your NAAC data ready before it is asked

Admissions with quota-wise seat tracking, department timetables, hour-wise attendance, internal marks, fees with scholarships, hostel, placements and alumni, in one system every department can use.

College management software runs the academic and administrative work of a college: admissions, departments, timetables, attendance, internal assessment, fees, hostel, placements and alumni records. We build it for arts and science, engineering, nursing and polytechnic colleges in India; schools are served by our separate school management software.

Where the day goes wrong

  • 01

    Accreditation data scramble

Every NAAC cycle and annual quality report sends departments digging through files for figures that should have been recorded as they happened.

  • 02

    Hour-wise attendance on paper

Attendance is taken every period, but shortage lists for exam eligibility are compiled by hand at the end of the semester.

  • 03

    Internal marks on personal laptops

Test, assignment and seminar marks sit in individual spreadsheets until the university upload deadline forces a last-minute merge.

  • 04

    Scholarship fee reconciliation

Government scholarships arrive late and in batches, and matching them against each student's fee account takes weeks.

  • 05

    Timetables built by hand

Electives, lab batches and shared faculty turn the timetable into a fortnight-long puzzle every semester.

What we build for you

  • 01

    Admissions portal

Online applications, document upload, merit lists, a quota-wise seat matrix and fee payment at confirmation.

  • 02

    Departments and timetable

Programmes, semesters, electives and lab batches, with timetable building that flags faculty and room clashes.

  • 03

    Attendance and internal marks

Hour-wise attendance on a faculty phone, assessment marks entered as they happen, and internal totals calculated by your university's formula.

  • 04

    Fees and scholarships

Fee heads by programme and quota, online payment, scholarship receivables and reconciliation when government credits arrive.

  • 05

    Hostel and mess

Room allotment, monthly mess bills, outpasses and visitor records linked to the student account.

  • 06

    Placements and alumni

Company drives, eligibility filters, student registrations, offers, and an alumni directory that stays in touch after graduation.

  • 07

    Accreditation exports

Department data stored in the shape NAAC, NIRF and your university ask for, exported when the cycle comes round.

How a college office actually runs

Consider a self-financing arts and science college near Sivakasi with fourteen departments, a hostel and a placement cell. The admissions office runs flat out for a few weeks every summer. After that the work spreads across the campus: heads of department build timetables, faculty take attendance every hour and record internal tests, the accounts section chases fees and waits for scholarship credits, the hostel warden manages rooms and outpasses, and the placement officer invites companies. Then the NAAC cycle or the annual quality report arrives, and everyone is asked for figures from three years ago.

Why a college is not a large school

School software is built around classes and sections with a fixed timetable. A college runs on programmes, semesters, credits, electives, lab batches and a university that sets the rules for internal marks and attendance. Faculty belong to one department but teach across several. Admissions involve quotas, counselling allotments and certificate verification. That is why school management software is a separate service for us. The multi-branch system we built for Cambridge School Madurai shares its fee, attendance and reporting foundations with a college system, but a college adds a whole academic layer on top.

Where time and money leak

  • Scholarship receivables: when government scholarships are credited months after the semester starts, a college that does not track them per student either chases families for money that is already coming or forgets money that never arrived.
  • Attendance shortage: discovered at hall-ticket time, it costs goodwill with students and parents, and condonation fees collected in a rush are easily left unrecorded.
  • Accreditation preparation: weeks of senior faculty time go into compiling data the system could have captured as a by-product of daily work.
  • Hostel dues: mess bills settled once a year are much harder to collect from students who have already left.
  • Timetable clashes: a shared faculty member double-booked across departments surfaces only when a class sits without a teacher.

One database, many departments

We usually build the college system as one database with separate logins for the office, each department, faculty, the hostel, the placement cell and management. Faculty use a phone for hour-wise attendance and marks entry. Students see attendance, marks, fees and placement drives in a portal or app. The library can run on the same student record through our library management module, and staff salaries through HR and payroll if you want everything in one place. Internal marks are calculated by your university's formula and exported in the format its portal accepts; we do not promise direct integration with a university system unless it publishes an interface for one.

Budget and build time

A first phase covering attendance, internal marks and fees typically starts around ₹85,000. An admissions portal with online applications and payment is a web portal project in the ₹75,000 to ₹2,50,000 band and takes 6 to 10 weeks. A complete college system typically falls between ₹1,50,000 and ₹5,00,000, and a group running several colleges with apps should budget ₹5,00,000 and above. The full build takes 12 to 16 weeks, and we go live at the start of a semester, department by department.

Admissions first, or attendance first

If admissions are the pain, start there before the next season; the portal becomes the front door for every later module. If accreditation is the pressure, start with attendance and internal marks, because they produce the day-to-day student data that accreditation relies on. Switching every module on at once is the classic way large systems stall, so read why most ERP projects fail before you sign with anyone, VS Tech Builders included.

Frequently asked questions

Can the system calculate internal marks the way our university requires?

Yes. The calculation is configured per programme and regulation: which tests, assignments, seminars and attendance count, how each is weighted and how the total is rounded. Faculty enter raw marks, the system produces the internal totals, and the export matches the format the university portal accepts. When a new regulation arrives, the formula changes for that batch without touching older ones.

Does it help with NAAC and NIRF reporting?

It helps by capturing data as daily work happens: admissions by category, attendance, results, faculty details, placements, scholarships and events. When the reporting cycle comes round, departments export figures instead of searching old files. The system does not write your self-study report or guarantee a grade; it removes the weeks spent collecting numbers, so your team can concentrate on the narrative.

Can we handle management quota and counselling admissions separately?

Yes. The seat matrix tracks each programme by quota, including seats allotted through government counselling and those filled directly by the college. Applications, merit lists, document verification and fee confirmation follow the route that applies to each quota, and the office sees remaining seats as they change. Reports by community and category are ready for the returns you file.

We already have an ERP that nobody uses. What would be different?

Usually the old system failed because it was imposed on departments rather than designed with them, or because faculty found attendance entry slower than the paper register. We begin by sitting with a head of department, the exam cell and the accounts office, and we design the faculty screens to be quicker than paper. Data from the old system is migrated, so nobody restarts from zero.
