Clinic software for therapy packages, rooms and medicine stock

Patient history, multi-day therapy programmes across rooms and therapists, in-house medicine stock and wellness bookings, kept in order.

Software for Ayurveda, Siddha and traditional therapy clinics records patient history, schedules multi-day therapy programmes across rooms and therapists, tracks in-house medicine preparation and stock, and handles packages and billing. It keeps records and schedules in order and makes no medical claims.

Where the day goes wrong

  • 01

    Programmes planned on paper

A fourteen-day programme needs the right room, therapist and materials each day, and the plan lives in a notebook.

  • 02

    Medicine preparation unrecorded

Herbs go in, preparations come out, and nobody can say which batch a patient received.

  • 03

    Therapist rosters clash

Therapists are matched to patients by preference, and one leave day makes a day's schedule unworkable.

  • 04

    Stay-in bills added by hand

Programme fees, accommodation and meals are priced separately and totalled at checkout.

  • 05

    History scattered across visits

Past visits sit in paper files that the next practitioner cannot find quickly.

What we build for you

  • 01

    Patient history and visit records

Past visits, notes, consent and follow-ups in one record the next practitioner can open.

  • 02

    Programme and room scheduler

A day-by-day plan that books the room, the therapist and the materials for each sitting.

  • 03

    In-house medicine stock

Raw materials, preparation batches, yield, labels, expiry and dispensing to patients.

  • 04

    Therapist roster

Shifts, leave and patient preferences, with attendance for payroll.

  • 05

    Wellness programme bookings

Stay-in programmes with rooms, meals, advance payments and checkout bills.

  • 06

    Billing and reminders

GST invoices, package payments and WhatsApp reminders for appointments.

What this software does and does not do

We are a software studio. Nothing on this page says what any therapy does or does not do for a person, and nothing we build suggests treatments, diagnoses or outcomes. The software records, schedules, counts and bills. The practitioner decides everything clinical.

A fourteen-day programme is a puzzle of rooms and hands

A traditional therapy programme is rarely one appointment. Over several days or weeks a patient may have a sitting each morning in a treatment room, with a particular therapist, particular oils or preparations, and rest in between. Another patient is on a shorter plan, and another stays on the premises.

Behind each day sit constraints: one treatment room, a steam facility shared by patients in turn, therapists matched to patients by preference, and materials that must be ready before the sitting. When a therapist takes leave, a week of plans has to be redone by hand.

The kitchen at the back: preparing medicines in-house

Many clinics prepare some of their own medicines: powders, decoctions, oils and similar preparations made from herbs and raw materials bought in bulk. The business questions are those of any small workshop. What went in, what came out, how much was lost in processing, which batch did this patient receive, and when does it expire?

We record purchases of raw materials, each preparation with its date, quantity used and quantity made, a batch label with expiry, and dispensing against a patient's visit. Stock and cost per batch follow from that. What the batch record must contain, and any licence rules for what you prepare or sell, are decisions for you and your advisor. VS Tech Builders builds to the format you give us.

Counts that go missing

  • Sittings not recorded. A package of sessions is consumed with no running count.
  • Materials not tied to patients. Oil and preparation use is estimated at month end.
  • Raw material price swings. Herb prices change by season, and the cost of a preparation is never recalculated.
  • Stay-in bills. Programme fee, room, meals and extras are added up by hand on the day of checkout.

Begin with the schedule and the stock

Two modules repay quickest. The programme and room scheduler ends the rewriting whenever a therapist is absent, and the preparation and stock register ends the month-end guess. Patient history and billing come with both. Wellness stay-in bookings and WhatsApp reminders can follow.

Budget, and the plain alternative

A clinic system with history, programme scheduling, preparation stock and billing typically starts around ₹85,000, and a stay-in wellness module adds scope. A website that introduces your clinic and takes appointment requests fits our Standard plan at ₹20,999. Any text about therapies on that site should be written or approved by your practitioner.

If you are a single practitioner with a small dispensary, a ready-made clinic app and a notebook for preparations may be all you need. Our hospital management software page describes the patient-record foundation we adapt, inventory management software covers batch and expiry tracking, and the guide to websites and apps for clinics explains the patient-facing side.

Frequently asked questions

Does the software suggest treatments or make medical claims?

No. It records visits, schedules sittings, tracks stock and prepares bills. The practitioner decides every treatment and every note. Text on your website that describes therapies should be written or approved by you or your practitioner, and we publish it as supplied. We do not add claims about outcomes, and we advise against including any you cannot support.

How would it track medicines we prepare in-house?

You record raw material purchases, then each preparation with its date, the quantity of materials used and the quantity produced. The system creates a batch with a label and expiry, and dispensing to a patient deducts from that batch. The record shows yield and cost per batch. Your advisor decides what the batch record must contain; we build to that format.

Can it schedule a multi-day programme with rooms and therapist preferences?

Yes. A programme template lists each day's sittings. Booking a patient onto it reserves the room, the therapist and the materials for every day, checking for clashes. Therapists can be matched to patient preference, including gender, and when someone is on leave the system shows which sittings need a new therapist, so you reassign them in minutes.

Do patients need an app?

Not at first. Appointment and programme reminders can go by WhatsApp, and a patient can open a day-by-day programme sheet from a link in the browser. A native Android app, which typically starts around ₹65,000, is worth considering later for stay-in programmes where guests want bookings, schedules and bills in one place.
