Veterinary clinic software for pet records, vaccines and boarding

One record per owner with every pet beneath it, vaccination due dates that remind themselves, a pharmacy that watches expiry, and boarding on the same bill.

Veterinary clinic software keeps one record per owner with every pet beneath it, calculates vaccination and deworming due dates, tracks consultations, surgeries and pharmacy batches, and runs boarding and grooming on the same invoice. It suits small-animal clinics that want visits repeated on schedule and stock that never expires unseen.

Where the day goes wrong

  • 01

    Duplicate owner records

A family with three pets and two phone numbers ends up with several records and the wrong dog's history.

  • 02

    Vaccinations that lapse

Due dates sit in a notebook, so reminders go out only when someone has time.

  • 03

    Medicine expiry in the pharmacy

Vaccines and drugs near expiry are found on the shelf, not on a list.

  • 04

    Boarding days not billed

A dog stays two extra nights and the invoice shows the original dates.

  • 05

    Theatre consumables unrecorded

Sutures, anaesthesia and drips used in surgery are not tied to the bill.

One owner, three pets, two phone numbers

In a human clinic the patient and the payer are usually the same person. In a veterinary clinic they never are. The owner pays and decides; the pet is the patient. A single household may have a Labrador, two cats and a rabbit, booked under whichever family member happened to phone. Records built around one name quickly turn into duplicates and the wrong dog's history.

Software for this trade starts from that structure: one owner, many pets, each pet with its own weight history, vaccinations, case notes and invoices, and a household view that shows them together.

Not every patient arrives with a tidy record. A stray brought in by a neighbour, a rescue with no known birth date, a pet whose owner has changed: the system has to accept an approximate age and a named person who brought the animal in, without forcing anyone to invent details just to open a case.

The vaccination date is the clinic's calendar

Puppies and kittens need a series of vaccines, adults need boosters, and deworming repeats on its own schedule. Every due date is a reason for the owner to come back, and in many small clinics it lives in a notebook or in the receptionist's memory.

We calculate the next due date when a dose is recorded and list every pet coming due this week. Reminders reach the owner on WhatsApp. The WhatsApp Business API is what allows them to go out automatically, with message charges from the provider and approved message templates.

The pharmacy counter and the theatre

  • Pharmacy. Vaccines and medicines by batch and expiry, recorded when stock is received, with a near-expiry list and stock deducted at billing.
  • Surgery and in-patients. A board of kennels in use, the day's theatre list, post-operative checks, and the consumables used so that they reach the bill.
  • Prescriptions. The vet decides the dose. The system records it and deducts the stock, and it never suggests a dose.

Boarding and grooming are small hotels inside the clinic

A boarding kennel has rooms, nights and a check-in routine. We add vaccination proof at check-in, a belongings list, feeding instructions, the daily rate and extras such as a bath or a medicine schedule. When the owner collects the pet two nights late, the bill follows the real dates.

Grooming runs on slots like a salon, with the groomer and the table assigned, and its charge joins the same invoice as the consultation. If you also treat cattle and goats on farm visits, those visits need an offline mobile app, much like the one described on our page for dairy farms and milk societies.

Pricing and where to begin

A veterinary clinic system with records, reminders, pharmacy and billing typically starts around ₹85,000, and the boarding and surgery boards add scope. Most clinics should begin with the owner-and-pet record, the vaccination reminders and billing, since those touch every visit. The pharmacy comes next, then boarding.

A one-vet clinic seeing a few patients a day may be well served by a ready-made practice tool and a good business website. VS Tech Builders would rather say so than sell you a system you will not use. Our hospital management software page explains the structure we adapt, and the guide to clinic websites and apps covers the patient-facing side.

Frequently asked questions

Can vaccination reminders go out without staff sending each one?

Yes, with the WhatsApp Business API. It lets approved reminder messages go out automatically a few days before each due date, though the provider charges per message and each template needs approval. If you prefer to avoid that cost, the system produces a daily list and your receptionist sends the messages with one tap each. Both routes use the same due dates.

Can one owner have many pets with different schedules?

Yes. A household record holds the owner and every pet, and each pet has its own vaccination series, weight history, case notes and invoices. A visit for two pets can be billed on one invoice, and a reminder message lists only the pet that is due. Transferring a pet to a new owner keeps its medical history intact.

Does it track medicine batches and expiry at our pharmacy counter?

Yes. Medicines and vaccines are received by batch with an expiry date, stock is deducted when you bill or prescribe, and a near-expiry list shows what to use or return first. The vet decides every dose and prescription; the system records them and keeps the stock right. It does not suggest treatments or dosages.

We also offer boarding and grooming. Is that a separate system?

No. It sits in the same system, so a boarded pet's vaccination status is checked at check-in and the stay is billed alongside any consultation or medicine. Boarding has a kennel grid with dates, grooming has appointment slots, and extras such as a bath or a medicine schedule are added to the same invoice at checkout.
