Event software that keeps quotes, vendors and props in step
From the first enquiry to the last prop back in the godown: quotations with every revision kept, vendor bookings, event-day run sheets, payment schedules and client approvals in one place.
Event management software follows every event from enquiry and quotation through vendors, timelines, payments and teardown. We build it for wedding planners, decorators and corporate event companies in India whose busiest dates bring several events at once and whose profit on each event is known only weeks later, if at all.
Where the day goes wrong
- 01
Quotes revised beyond recognition
A wedding quote goes through six versions on WhatsApp, and on the day nobody is sure which one the family actually approved.
- 02
Props double-booked
On an auspicious date, three events need the same backdrop and chairs, and the godown finds out the evening before.
- 03
Vendor payments in a muddle
Advances to caterers, florists and sound vendors go out in cash and UPI from different phones, with no ledger per event.
- 04
Extras never billed
Additional plates, extra lighting or an added function are agreed on the spot and forgotten when the final invoice is made.
- 05
Profit known too late
The margin on an event is worked out weeks afterwards, if ever, so pricing never learns from experience.
What we build for you
- 01
Enquiry and quotation
Enquiries from calls, the website and Instagram turned into itemised quotes per function, with every revision kept.
- 02
Client approvals
Quotes, decor designs and menus approved by the client on a link, recorded with the date and the approver's name.
- 03
Vendor management
A vendor directory with rates, bookings per event, advances, balances and notes on performance after each event.
- 04
Checklists and run sheets
Task lists per event with owners and deadlines, and a minute-by-minute run sheet the team opens on their phones.
- 05
Payment schedules
Client instalments tied to milestones, vendor payouts against bookings, and a profit statement for every event.
- 06
Props inventory
Every backdrop, light, chair and drape reserved by date, issued to an event, returned, and flagged if damaged or missing.
How an event company really runs
An event business works on two calendars at once. One belongs to the client: an engagement in March, a wedding in May, a reception the day after. The other belongs to the company: on the busiest muhurtham dates, the same team, the same godown and the same vendors are spread across four venues in three towns. Plenty of planners keep both calendars in their heads and their WhatsApp, which holds up until the season peaks.
Corporate work adds its own rhythm: dealer meets, product launches and annual days, booked by a purchase department that wants a GST invoice against a purchase order and pays forty-five days later.
Where margins quietly go
Margin in events rarely disappears in one big mistake. It goes in pieces. A discount given in the fourth quote revision and carried into the fifth by accident. A hundred extra plates confirmed at the venue and never invoiced. A sound vendor paid an advance from the owner's phone and the balance from the manager's, both in full. A crate of fairy lights left behind at a hall and bought again. Each piece is small; across a season, they decide whether the year was good.
From enquiry to teardown in one record
Every enquiry, whether it arrives by phone, through the website or as an Instagram message, becomes a record, and the event date is checked against existing bookings before anyone promises it. Tracking those enquiries works much like a small CRM. Quotes are built from your own price list per function, and each revision is saved, so the version the client approves on the approval link is the one the team executes.
Once confirmed, the event gets its checklist, vendor bookings and run sheet. Vendors are booked against the event with agreed rates and advances, and their balances settle from the same screen. On the day, coordinators open the run sheet on their phones: when the band arrives, when the mandap must be ready, when the photographer moves to the dining hall. Props are reserved by date, issued against the event and checked back in, and anything missing is charged to that event instead of vanishing into the year's expenses. Our page on booking and reservation systems describes the date-blocking logic in more depth.
What it costs
A portfolio website with galleries and a blog costs ₹28,999 on our Premium plan, delivered in 21 days. The event management system, built to your workflow, typically starts around ₹85,000 for enquiries, quotations, approvals and payments. With vendor management, run sheets and props inventory it becomes a complete system in the ₹1,50,000 to ₹5,00,000 band. Client payments online run through a gateway, explained in our payment gateway guide. You pay us in milestones and receive the full source code with the final payment.
Start here
Begin with enquiry, quotation and payment schedules, because that is where revenue is decided. Add props and vendors before your next peak season, not in the middle of it. If you run a few events a month, a shared calendar and a well-kept spreadsheet may be enough, and our comparison of spreadsheets and inventory software helps you judge when that stops being true. VS Tech Builders works from Madurai with businesses across India, Malaysia and Singapore.
Frequently asked questions
Can the system stop us double-booking props and team members?
Yes. Every prop, from a mandap backdrop to a set of chairs, is booked against an event date, and the system warns when a quote or confirmation needs something already committed elsewhere that day. Team members and vehicles can be booked the same way. On a crowded muhurtham date, the godown manager sees exactly what leaves for which venue and what must come back before the next morning.
How do clients approve quotations and decor designs?
They receive a link on WhatsApp or email that opens the quotation or the design images on their phone, with an approve button and space for comments. The approval is stored with the date, the time and the name of whoever approved it. When a family has several decision-makers, every revision and every approval stays visible, which settles most arguments before they start.
Can we see the profit on each event?
That is one of the main reasons to build this. Client receipts, vendor payments, props damage, staff costs and transport are all recorded against the event, so the profit statement is ready when the last vendor is paid. Over a season you can compare profit by event type, venue or package, and set next season's prices from real figures instead of instinct.
Do our coordinators need laptops on the event day?
No. Coordinators work from their phones. The run sheet, vendor contacts, checklists and client details open in a mobile web app, and items are ticked off as they happen. If the venue has poor signal, the day's run sheet is saved on the phone in advance. Office staff use the full system on a computer for quotations, vendor bookings and accounts.
