Hotel software that brings more bookings to your own website
A booking engine on your own website, room inventory and seasonal rates, a front desk from check-in to checkout, a housekeeping app, and WhatsApp at every step of the guest's stay.
Hotel and resort software manages rooms, rates, reservations, the front desk, housekeeping and guest communication. We build direct booking engines and property systems for independent hotels, resorts, heritage stays and pilgrim-town lodges in India that want more bookings on their own website and fewer errors at the desk.
Where the day goes wrong
- 01
Commission on guests who knew you
Guests who already know your name search for you, land on an OTA listing and book there, and the commission comes out of your rate.
- 02
Overbooking and stale availability
A room sold on one channel is still open on another, and the front desk discovers the clash when two guests arrive.
- 03
Rooms ready late
Housekeeping status is shouted across the lobby, so clean rooms sit unsold while arriving guests wait.
- 04
Charges that miss the folio
Restaurant bills, laundry and extra beds are not posted to the room and are forgotten at checkout.
- 05
Guests who never return
After checkout there is no simple way to thank a guest, invite them back or offer them a direct rate.
What we build for you
- 01
Direct booking engine
Live availability, rates by room type and meal plan, online payment or part advance, and instant confirmation on your website.
- 02
Rooms and rates
Room types and numbers, seasonal, weekend and festival rates, extra bed and child rules, and rooms blocked for maintenance.
- 03
Front desk
Reservations, check-in with ID capture, foreign guest details, room changes and a guest folio carried through to checkout.
- 04
Housekeeping app
Room status from the attendant's phone, inspection, maintenance requests and lost-and-found records.
- 05
Guest WhatsApp
Booking confirmation, directions, pre-arrival requests, in-stay service and a review request after checkout.
- 06
Channel manager link
A connection to your existing channel manager where it offers an interface, so availability stays in step everywhere.
How a property runs between check-ins
A 28-room resort near Kodaikanal has a reservation chart that changes all day. Bookings arrive from three OTAs, from phone calls, from travel agents and from guests who walked in after seeing the view. The front desk checks guests in, records ID documents and notes the meal plan. Housekeeping turns rooms around after every checkout, the restaurant sends room-service bills, and the manager adjusts rates for the long weekend. On a busy Saturday, the difference between a calm desk and chaos is whether everyone sees the same room status at the same moment.
Commission on guests who were already yours
OTAs earn their commission when they bring a guest you could never have reached. They earn it less fairly when a guest searches for your property by name, finds your website slow or without a booking button, and books through an OTA listing instead. Every booking that could have come direct costs you that commission. Inside the property the leaks are smaller but steady: restaurant and laundry charges never posted to the folio, rooms still marked dirty after they have been cleaned, walk-in cash that never reaches the books, and no-shows that cost you a room night because the booking took no advance.
Booking engine first, property system behind it
For most independent properties the first piece is a booking engine on your own website: live availability by room type, meal plans such as CP and MAP, seasonal and weekend rates, and payment in full or as an advance through Razorpay, with Stripe for international guests. Confirmation goes out on WhatsApp with directions and check-in details. Behind it sits the property system: reservations from every source, a front desk with ID capture and the foreign guest details needed for Form C, a guest folio that collects restaurant and laundry charges, and a housekeeping app that shows room status on every phone. We usually connect to the channel manager you already use, where it provides an interface, rather than rebuilding that layer. Whether direct booking pays off depends on how many guests already search for you by name; our article on online booking systems is a useful read before deciding.
Hotels, resorts and lodges are different
A city business hotel lives on corporate rates, early checkouts and GST invoices for companies. A resort sells packages, activities and meal plans, and its season decides the year. A lodge in a temple town such as Rameswaram or Madurai fills on festival days and sits half-empty in between, so advance bookings and group blocks matter more than rate strategy. We scope each differently. Properties that work closely with tour operators should also look at our page on software for travel agencies, since agent bookings and vouchers connect the two businesses.
Budget for a hotel or resort
A basic website for a small property starts from ₹13,999. A booking engine with payment and WhatsApp confirmation, plus a front desk and housekeeping system, typically starts around ₹85,000; multi-property groups with apps and channel connections should expect ₹1,50,000 to ₹5,00,000. The booking engine can go live in 6 to 10 weeks, and a full property system takes 10 to 16.
The first step for most properties
Start with the booking engine and a Google Business Profile listing that points to it, because that is where direct bookings begin. A homestay with four rooms can manage with a ready-made booking widget and a calendar, and a property already happy with its hotel software subscription may only need a better website. Once your rates, packages or number of properties outgrow those tools, that is the moment to talk to VS Tech Builders about a custom system.
Frequently asked questions
Should we stop listing on OTAs once we have our own booking engine?
No. OTAs reach travellers you could not reach on your own, and that value does not disappear because you have a booking engine. The aim is narrower: guests who already know your name, returning guests and people who find you on Google should be able to book directly at a fair rate. Keep the OTAs, and make your own website the easiest place to book.
How do you prevent the same room being sold twice?
Every reservation, whatever its source, reduces availability in one place. For OTA bookings, the dependable method is a channel manager that updates all channels together; we connect the booking engine and front desk to the one you use, where it offers an interface. Without a channel manager, small properties can still close rooms by hand, and the system warns when a room type is about to oversell.
Can guests pay an advance instead of the full amount?
Yes. You set the rule per rate or season, for example one night's tariff as advance on peak weekends and full payment for non-refundable rates. Guests pay through Razorpay using UPI, cards or net banking, while international guests use their cards through Stripe. The balance is collected at the desk on the same folio, with a GST invoice at checkout.
Can housekeeping staff use the app if they are not comfortable with English?
Yes. The housekeeping app relies on large status buttons, room numbers and colours rather than text-heavy screens, and labels can be in Tamil or another language your staff prefer. Attendants mark a room clean with one tap, supervisors inspect and release it, and the front desk sees it ready immediately. We train staff on their own phones during the go-live week.
