Security agency software that proves every guard was on post
Deployment across client sites, shift rosters, attendance with photo and location, reliever cover, payroll inputs and billing per post.
Security agency software manages guard deployment across client sites, shift rosters, relievers, attendance with photo and location, payroll inputs and client billing per post. We build it for agencies that run many posts through supervisors and phones, and need proof of duty behind their invoices.
Where the day goes wrong
- 01
Paper attendance, late data
Guards sign registers at the site, supervisors collect them, and the office types them in days later.
- 02
Proxy duty and ghost shifts
Without proof of who stood at the gate, clients question the invoice and the agency cannot show otherwise.
- 03
Reliever scramble
Weekly offs and absences are covered by last-minute calls, and a post goes short without the control room knowing.
- 04
Payroll built from scraps
Days worked, overtime, advances and deductions are assembled at month end from registers, messages and memory.
- 05
Per-post billing disputes
Clients are billed per post and per shift, then dispute the count when the agency cannot attach attendance proof.
What we build for you

Posts, guards and who is actually standing there
A security agency sells presence. A client pays for a guard at a gate for twelve hours, and the invoice is only as good as the proof that someone stood there. The difficulty is that the product is spread across dozens of sites that the owner cannot visit daily, run through supervisors, registers and phone calls. The business rests on trust between four layers of people: guard, supervisor, control room and client.
Attendance you can show to a client
Paper registers are signed on site, collected by a supervisor, carried to the office and typed up days later. By then a dispute over one particular shift cannot be settled, because it is one person's word against another's.
We build an Android attendance app for guards. At the start and end of duty the guard takes a photo, and the app records the time and location. It works offline on a basic phone and syncs when it can. Location is captured only at check-in and check-out, not continuously, which is the difference between attendance proof and GPS tracking. We recommend telling guards plainly what is recorded and why.
The reliever problem
Every post has weekly offs, sick days and sudden absences. Covering them is the control room's hardest job, and it is usually done by calling around. We keep a roster by post and shift, with a pool of relievers and their availability, so the person at the desk sees who can cover tonight and which posts are still short. When a guard fails to check in on time, the supervisor gets an alert, and the post is not left empty without anyone knowing.
Wages and invoices from the same record
- Payroll inputs. Days worked, overtime, advances and deductions per guard come straight from verified attendance, and the system produces the input sheet for your payroll process. Statutory filings such as PF and ESI remain with your payroll consultant, and we do not replace them.
- Client billing. Invoices are built per post and per shift from the same attendance, with the photo and location log attached as an annexure. A client who questions a day can be shown it.
- Supervisor rounds. Visits to sites are recorded with a photo and a note, and incidents are logged with the time and the action taken.
Because one record feeds both wages and invoices, what you pay a guard and what you bill a client cannot silently drift apart. Our HR and payroll software page explains how the payroll side can go further if you want it to.
Licences, returns and CCTV: outside our scope
Licensing, the registers required of agencies and statutory returns stay with you and your advisers. We do not handle them and make no claims about them. We also do not supply or monitor CCTV or alarm systems. If your control room already uses such equipment, we can plan how its readings might link into the same dashboard, but we would scope that separately.
Cost, and rolling out site by site
A core system with sites, posts, rosters, payroll inputs and billing typically starts around ₹85,000. The guard attendance app, built on offline-first principles for patchy signal, typically starts around ₹65,000. Agencies with several branches and very large deployments count as multi-branch systems with apps, which start at ₹5,00,000 and above.
We would roll out site by site, starting with one client who values attendance proof, and VS Tech Builders would review the result with you after the first billing cycle. If your need is attendance alone and you do not bill per post, a ready-made attendance app may be enough.
Frequently asked questions
Can a guard check in from home with a photo?
The app records the time and location with each photo and compares the location with the site, so a check-in from somewhere else is flagged for the supervisor. No system is foolproof, and a determined person may find a workaround. But the record makes casual proxy duty visible, and that is usually what matters when a client questions an invoice.
Will it work on basic phones with weak signal?
Yes, within reason. The attendance app is light, saves entries on the phone when there is no signal and sends them later, keeping the time of the original check-in. The phone needs a working camera and location services. We test on the kind of phones your guards actually carry before launch, and we tell you if any model is unsuitable.
Does it calculate salaries?
It prepares the inputs: days worked, overtime, advances and deductions for each guard, taken from verified attendance. Your payroll consultant or payroll process still computes statutory items such as PF and ESI. If you want salary calculation inside the system, that can be added as a payroll module, scoped and priced separately. We do not file statutory returns.
Can each client see their own guards' attendance?
Yes, if you choose to offer it. A client login shows only that client's sites, posts and attendance, with photos where you allow it. This can cut invoice disputes, because the client can check the day for themselves. You control what is visible, and clients never see other clients' data, guards' personal details or pay.
