Vehicle dealer software for the journey from enquiry to delivery
Enquiries, test drives and bookings in one pipeline, then finance, insurance and registration tracked until the keys change hands, with service reminders after.
Vehicle dealer software follows each customer from enquiry and test drive to booking, finance, insurance, registration, accessories and delivery, then reminds them about service. It is for the sales side of a showroom, and differs from workshop software, which handles repair jobs.
Where the day goes wrong
- 01
Leads leave with the salesman
Walk-in enquiries and test drives are noted in a salesman's phone, and when that person leaves or forgets, the enquiry is lost.
- 02
Paperwork between booking and delivery
Finance approval, insurance and registration pass through different people, and no one sees the whole file.
- 03
Registration status unknown
Customers ring daily to ask whether the number plate and RC are ready, and staff must chase the agent each time.
- 04
Accessories billed loosely
Free accessories, paid accessories and fitments are agreed verbally, and they appear on the bill or fail to at delivery.
- 05
Delivery day mistakes
Without a checklist, a vehicle leaves without a document, a free item or a first-service explanation, and the complaint follows.

The enquiry that was never called back
A vehicle showroom spends heavily to bring a customer through the door. Hoardings, ads, festival offers: all of it aims at one moment, a person standing next to a car or a bike with a question. What happens next is often written in a salesman's phone. If the salesman is busy, on leave or has left the company, the lead goes cold, and the business has paid for the enquiry without getting the sale.
Booking is the middle of the story
When a customer books a vehicle, a second job begins that the customer cannot see. A loan has to be approved, insurance issued, registration applied for, accessories fitted and the plate fixed. Each of these sits with a different person, often an outside agent. The customer asks the salesman about each one, and the salesman asks someone else.
We build a booking-to-delivery file for every customer. It carries the finance status, the insurance status, the registration progress and the accessory fitment in one place, with a named owner for each and a date by which it should be done. A manager who opens the list on Monday sees at once which deliveries are at risk this week and why.
Registration and the delivery checklist
Registration has its own stages: application with the RTO, the number allotted, the plate fitted, the RC dispatched and handed over. We record each one, so the customer can be told the status without someone ringing the agent.
Delivery day gets its own checklist: documents handed over, accessories fitted as promised, free items given, the first-service date explained, and a signature on a screen. A vehicle leaves only after the list is complete.
Where this stops and your manufacturer's system starts
A franchised dealer is often required by the manufacturer to use its dealer management system for vehicle invoicing, stock and warranty claims. VS Tech Builders does not replace that and would not suggest you try. Our system sits beside it and handles what those systems usually treat thinly: enquiry follow-up, finance and insurance file tracking, registration status, accessories and the delivery checklist.
Multi-brand and pre-owned dealers, who often have no mandated system, can use ours for more of the day. Either way, the service workshop is a separate problem, and for repair jobs you should read our page on automobile workshops.
Cost and the first build
A sales, finance and delivery system for one showroom typically starts around ₹85,000. An Android app for salesmen, to record enquiries and test drives on the floor, typically starts around ₹65,000. A dealer group with several showrooms and a central view of every pipeline should plan on ₹1,50,000 or more, and nearer ₹5,00,000 once a dealer-wide app is added.
Start with the enquiry pipeline, because every showroom leaks there, and the booking-to-delivery file second. The pipeline is a CRM built around vehicles, and if you are weighing it against a ready-made product, custom CRM versus Zoho CRM sets out the trade-offs. A small dealer with one salesman and a handful of bookings a month may need only good WhatsApp discipline. For floor use, see native Android app development. We would scope the pipeline and the delivery file as the first stage.
Frequently asked questions
We use the manufacturer's dealer system. Do we still need this?
Possibly, and only for the gaps. Manufacturer systems usually handle vehicle invoicing, stock and warranty claims, and are often compulsory. They are thinner on enquiry follow-up, finance and insurance tracking, registration status and delivery checklists. We build those around your existing system without replacing it. If the manufacturer's system already covers them well, you should not buy ours.
Can customers get updates on registration and delivery?
Yes. When the status changes, for example number allotted or RC dispatched, the customer can receive a WhatsApp message if they have agreed to receive messages. Staff update the status in the system and the message follows. The registration itself runs through the RTO and your agent, so accuracy depends on staff keeping the status current.
How does the system stop leads being lost when a salesman leaves?
Every enquiry belongs to the dealership's record, not to a person's phone. A manager can reassign a departing salesman's open leads in one step, and every follow-up, call note and test drive stays on the customer's history. Leads with no follow-up for a set number of days rise to the manager's list, so they are chased or closed on purpose.
Does it work for used car dealers?
Yes, with a different focus. Used vehicles need purchase details, reconditioning cost, ownership transfer status and sale price against total cost, which we build as a stock and paperwork module. The enquiry and delivery parts work the same way. Tell us whether you buy from individuals, auctions or both, because the paperwork stages differ and we configure them to match.
