Mobile and electronics store software built around serial numbers

Every handset sold with its IMEI, every EMI file tracked to disbursal, and every service job followed until it is back in the customer's hand.

Mobile and electronics store software records each handset or appliance by IMEI or serial number from purchase to sale, tracks finance paperwork until the loan is disbursed, and follows warranty and service jobs. We build it for shops that sell on EMI, take exchanges and run a service counter.

Where the day goes wrong

  • 01

    IMEIs mistyped or missing

A wrong digit on the invoice makes a warranty claim fail months later, and nobody can say which unit went to which customer.

  • 02

    EMI files stuck in limbo

Documents, down payment and approval status are tracked on slips, so the customer waits while the shop does not know what the finance company needs.

  • 03

    Service jobs that vanish

A phone sent to the brand's service centre has no tracking after it leaves the counter, and the customer calls every day.

  • 04

    Accessories nobody counts

Covers, chargers, cables and earphones are thousands of low-value items with real margin, and their stock is never reconciled.

  • 05

    Exchange handsets in a drawer

Old phones taken in exchange are valued by feel, recorded loosely and resold without a clear cost trail.

What we build for you

  • 01

    IMEI and serial register

Scan or type at purchase and sale, with both IMEIs for dual-SIM phones, so every unit's journey is on record.

  • 02

    Invoice with warranty

GST invoice carrying IMEI or serial, model, colour and warranty end date, printed or sent on WhatsApp.

  • 03

    EMI file tracker

Document checklist, down payment and status from applied to approved to disbursed, showing who is waiting on whom.

  • 04

    Service job cards

Intake with condition photos, estimate, parts used, dispatch to the service centre and return, with customer updates.

  • 05

    Accessories stock

Fast counter billing, reorder levels and barcode labels for the many small items that move every day.

  • 06

    Exchange valuation

The old handset's IMEI, condition and valuation recorded at the counter, then tracked as used stock until sold.

  • 07

    Model-wise reports

Sales, margin and stock ageing by model, with IMEI-wise lists ready for any distributor scheme claim.

Every handset is a serial number

A mobile shop does not really sell phones. It sells specific units. Each one has an IMEI, and a dual-SIM handset has two. The IMEI decides whether a warranty claim is accepted, whether a distributor's scheme can be claimed and whether a customer's complaint can be traced to the batch you bought. A generic billing app records "one smartphone, 128 GB". A mobile store needs "this exact handset, bought on this date, sold to this customer on that date".

The EMI file that holds up the sale

Consumer finance now sits behind many phone and appliance sales. A customer picks a handset, applies for a loan with a finance company's field executive, and the shop waits for approval and then for disbursal. In between, the file passes through several hands: ID proof, address proof, bank details, the down payment and the finance company's own checks. When all this is tracked on slips, the customer asks the shop for an update and the shop has to ask the finance company what is missing.

We build an EMI file tracker with a checklist for each finance partner, a status from applied through approved to disbursed, and a plain note of who is waiting on whom. A file that sits too long in one status rises to the top of the manager's list. We record the paperwork status only. The credit decision and the loan agreement are between the customer and the finance company.

Service jobs and the warranty trap

The service counter is where goodwill is won or lost. A customer hands over a phone with a dead screen, and what happens next depends on who is responsible: you, the brand's service centre, or nobody if the warranty has lapsed.

We create a job card at intake with condition photos and the described fault, check the warranty against the IMEI on your own sales record, and follow the job through estimate, approval, parts, dispatch to the service centre and return. The customer gets a status message at each step, and the daily calls asking for news fall away.

What else the system covers

  • Accessories. Covers, chargers, cables, earphones and screen guards add up to thousands of cheap items with real margin. Fast barcode billing, reorder levels and a dead-stock list keep that stock honest.
  • Exchange offers. The old handset's IMEI, condition and valuation are recorded at the counter, the exchange value shows on the invoice, and the handset moves into used stock until it is sold.
  • Distributor purchases. Purchase entry by IMEI list, so the shop can match stock with the distributor's invoice and claim any scheme with a clean sales list.
  • Reports. Model-wise sales and margin, stock ageing, and cash by counter.

What to budget, and what to leave out

A mobile store management system with IMEI tracking, billing, EMI files, service jobs and accessories typically starts around ₹85,000. A staff Android app for the service counter or for field sales typically starts around ₹65,000. A chain of showrooms needs a multi-branch layer, which lifts the scope towards ₹5,00,000 and above.

A single-counter shop selling mostly accessories and a few phones a week can do well with a ready-made billing app that supports serial numbers, and custom billing software versus Vyapar will help you judge. The service counter has a lot in common with a vehicle workshop, so our page on automobile workshops is worth a look, and the counter engine is described under POS retail software. We would build IMEI-linked billing and the service job card first, because those two features settle the most arguments. On a VS Tech Builders project your service technician sees a working job card in the weekly demos, long before launch.

Frequently asked questions

Can we scan IMEIs with a phone camera instead of typing them?

In most cases, yes. The app reads the barcode printed on the box or the handset label using the camera and checks that the number has fifteen digits before saving it. Dual-SIM handsets are recorded with both numbers. A damaged or missing barcode can still be typed in. Scanning reduces mistyped numbers, which is where most warranty arguments begin.

Do you handle the finance company's own application forms?

No. The loan application, credit decision and agreement are between the customer and the finance company, and each has its own process and forms. Our tracker records the checklist and status for every file so you know what is pending and who is waiting. We do not connect to a finance company's systems unless it offers an interface, and we would scope that separately.

How does it know whether a phone is still under warranty?

Warranty is worked out from the sale date and the warranty period recorded on your invoice for that IMEI, so the counter can answer immediately for your own sales. The brand's service centre has the final say on its warranty terms, which vary by model and repair history, so the system shows your record and the brand decides the claim.

We have three shops and one service centre. Can stock move between them?

Yes. Each shop keeps its own stock by IMEI, transfers between shops are recorded with sender and receiver, and the service centre sees job cards from all three. The owner sees combined sales, stock and pending jobs. A handset's history stays attached to its IMEI wherever it moves, which also helps when a customer returns to a different shop.
