UPI Payments

UPI, the Unified Payments Interface, is India's instant bank-to-bank payment system run by NPCI. Customers pay by scanning a QR code or approving a request in any UPI app, and the money moves straight between bank accounts.

What it means

UPI moves money between bank accounts instantly, using a UPI ID or a QR code instead of account numbers. It was built by the National Payments Corporation of India and works across banks and apps such as PhonePe, Google Pay and Paytm. For a business, it means a customer can pay in seconds with the phone already in their hand, and the money lands in your bank account.

Ways a business accepts it

  • Static QR code: a printed code at the counter. Cheap, but the customer types the amount and matching it to a bill is manual.
  • Dynamic QR or payment link: generated per bill or order with the exact amount, so each payment is tied to a record.
  • Gateway checkout: UPI offered beside cards and net banking on your website or app.
  • UPI AutoPay: a customer-approved mandate for recurring charges such as subscriptions and instalments.

Why it matters for your business

Indian customers expect to pay by UPI, and a business that cannot accept it loses sales at the counter and at checkout. The harder part is not accepting the money but accounting for it. A shop with one static QR code ends the day with a bank statement full of unnamed credits and a billing register that does not match.

An example

A sweet shop in Thoothukudi takes UPI at a busy counter through a single printed QR code. During Deepavali, staff cannot tell which credit belongs to which bill, and a customer insists he paid ₹1,850 while the screen shows nothing. Switching to billing software that shows a fresh QR code for each bill, and marks the bill paid once the bank confirms, ends the argument at the counter and the reconciling at night.

What to watch

Fees and limits differ between direct bank QR codes and gateways, and the rules have changed over the years, so check the current charges and per-transaction limits with your bank or gateway instead of assuming. Confirm every payment from the bank or gateway notification, never from a screenshot a customer shows you, because fake payment screenshots are a common trick.

How we build it

VS Tech Builders connects UPI through payment gateways such as Razorpay in India, with webhooks confirming each payment, inside POS and retail systems, online stores and fee-collection apps. Our gateway comparison explains how to choose, and sweet shops and bakeries will find the counter workflow most useful.

Common questions

Is a personal UPI QR code fine for a business?

It works for a tiny stall, but it creates problems as you grow: personal and business credits get mixed, there is no link to invoices, and your CA has little to reconcile. Use a merchant QR or a gateway account in your business name, so that payments are traceable and customers see the business name before they pay.

How do I match UPI payments to bills automatically?

Generate a unique QR code or payment link for every bill, so that the payment carries a reference to it. The bank or gateway then confirms the amount, and the software marks that bill as paid. This relies on confirmation messages from the gateway, not on staff reading the phone. A fixed QR code printed at the counter cannot do this reliably.
