Real estate software that stops double-booked plots and cold leads
One record for every plot, flat, buyer and broker: listings website, enquiry CRM, site visits, availability chart, payment schedules, commissions and approval documents.
Real estate software for agencies and builders keeps listings, enquiries, site visits, plot or flat availability, buyer payment schedules and broker commissions in one system. It suits builders running layouts or apartment projects and agencies with a sales team and outside brokers selling the same inventory.
Where the day goes wrong
- 01
Same plot sold twice
The availability chart is a PDF forwarded on WhatsApp, so two brokers promise the same corner plot to two families on the same Sunday.
- 02
Paid leads going cold
Enquiries from portals, Facebook forms and hoardings land on different phones, and the ones that arrive after office hours rarely get a call back.
- 03
Commission arguments
When a buyer visits twice with two different brokers, nothing records who brought them first, and the dispute lands on the owner's desk.
- 04
Demand letters sent late
Slab-stage instalments depend on someone remembering to raise the demand, so collections trail the construction by weeks.
- 05
Documents in five places
Patta, EC, DTCP or CMDA approval, the RERA certificate and sale deeds sit across email, a steel cupboard and a former employee's laptop.
What we build for you
- 01
Project listings website
Project pages with RERA number, approvals, floor plans and location map, plus an enquiry form that drops straight into the CRM.
- 02
Enquiry CRM
Every lead from portals, ads, calls and walk-ins in one list, with its source, assigned executive, next follow-up date and full history.
- 03
Site-visit scheduler
Visits booked by slot, an executive and pick-up vehicle assigned, the location pin sent on WhatsApp and the outcome recorded afterwards.
- 04
Live availability chart
A colour-coded layout map or floor grid showing available, held, booked and registered units, with holds that expire on their own.
- 05
Payment schedules
Construction-linked or plot instalment plans per buyer, stage-wise demand letters, receipts and an overdue list.
- 06
Broker commissions
Lead ownership fixed at first registration, commission worked out per deal and released only as buyer payments clear.
- 07
Document vault
Approvals, title documents, agreements and buyer KYC stored per project and per unit, behind role-based access.
How a property sale actually moves
Take a layout developer selling plots on the edge of Madurai, or a builder with two apartment blocks in Trichy. A plot or flat sale is never one conversation. A family sees a hoarding or a portal listing, calls, receives the brochure on WhatsApp, visits the site on a Sunday, returns with the elders, checks bank loan eligibility, negotiates, blocks the unit with a token advance and then pays in stages over months. Along the way the enquiry may pass through an outside broker, two of your executives and the owner. Good software for this business keeps that whole chain on one record, so nothing depends on who remembers what.
Where the money leaks
The expensive mistakes are rarely dramatic. A lead from a paid Facebook campaign waits three days for a call and books elsewhere. A broker's availability chart is a week old, so a buyer is promised a plot that was booked on Thursday, and the apology costs you the sale and the broker's trust. Two brokers claim the same buyer and the owner settles it by paying both. A slab is cast, the demand letter goes out late, and the collection slips with it. None of this appears in your accounts as a loss. It appears as slower sales and thinner margins.
What we build for agencies and builders
We usually connect four pieces. The listings website carries each project with its RERA registration number, approvals, plans and location, because serious buyers check those before they call. Its enquiry form feeds a custom CRM where every lead, from any source, gets an owner and a next follow-up date, and every call, visit and WhatsApp conversation is noted against it. The availability chart becomes the single source of truth for every plot or flat: an executive places a hold that lapses on its own if no token arrives, and brokers see a read-only view that is always current. The payment schedule module raises stage-wise demand letters, records receipts and calculates broker commission only on money actually received.
Approval and title documents, such as the DTCP or CMDA layout approval, patta, EC and RERA certificate, are stored per project, so a sales executive can send the right file in seconds without phoning the office.
What it costs
A project website on our Standard plan costs ₹20,999 with 14-day delivery; a larger site with a content management system and blog is ₹28,999 on the Premium plan. The CRM with availability chart and site-visit scheduling typically starts around ₹85,000. A complete system with payment schedules, commissions, a document vault and a sales app for executives usually lands between ₹1,50,000 and ₹5,00,000, depending on how many projects and branches it covers. Every build is fixed-scope, and the source code is yours once the final milestone is paid. For the website alone, the website cost estimator gives a quick first figure.
Start with the availability chart
Begin with the availability chart and the enquiry CRM, not the website. Double-booking and lost leads cost far more than a dated website, and a new site will only push more enquiries into a process that already drops them. Once leads are tracked properly, the website and portal connections add volume you can actually handle. Payment schedules come next, ideally before your next apartment project opens for booking.
When a spreadsheet is still enough
An individual broker with a few resale listings does not need custom software; a shared sheet, WhatsApp Business labels and a good portal listing will do. The case changes when you have more than one project, a sales team and outside brokers selling the same inventory. Read custom CRM versus Zoho CRM first: a ready-made CRM tracks leads well, but it will not know what a plot hold or a slab-stage demand letter is. Our wider notes on software for the real estate industry cover the rest, and VS Tech Builders can scope the parts that fit your projects.
Frequently asked questions
Can outside brokers see availability without seeing buyer details?
Yes. Each outside broker gets a login or a shared link showing the layout map or floor grid, with every unit's status and price band, but no buyer names, phone numbers or payment details. When a broker wants a unit, they request a hold from that view and your sales manager approves it. Every request and approval is logged, which settles most commission disputes before they begin.
Will leads from property portals and Facebook ads come in automatically?
Leads from your own website and from Facebook and Instagram lead forms can flow in automatically. Property portals differ: some offer a lead feed or email alerts we can read, while others only show leads inside their own dashboard, in which case an executive adds the lead from a phone in under a minute. Every lead keeps its source, so you can see which channel produced site visits and bookings.
Can it handle construction-linked payment plans for flats?
Yes. You define the stages for each project, such as booking, agreement, foundation, each slab, brickwork, flooring and handover, with the amount due at each. When the site engineer marks a stage complete, demand letters for every buyer in that block are generated together, followed by receipts and an overdue list. Plot layouts can use a simpler instalment plan inside the same system.
Can executives place a hold from their phone during a site visit?
Yes. The availability chart works in a phone browser, so an executive standing on the site with a family can hold the plot they like in a few taps. The hold carries the buyer's name and an expiry time, and it lapses on its own if the token advance does not arrive. Your sales manager sees every new hold as it happens and can extend or cancel it.
