Insurance agent software that never misses a renewal date
One record for every client and family, every policy across every insurer, with renewal reminders, commission checks and claim follow-ups in one place.
Insurance agent software keeps clients, families and policies from several insurers in one record, with renewal reminders, commission tracking, claim follow-ups and a document vault. We build it for agents and small brokerages whose business sits in notebooks, Excel and insurer portals.
Where the day goes wrong
- 01
Renewals tracked in diaries
Due dates for motor, health and life policies sit in diaries and phone contacts, and a missed renewal is a lost client.
- 02
Four insurers, four portals
Each insurer has its own login and its own format, so a family's cover cannot be seen in one place.
- 03
Commission nobody reconciles
Statements arrive from each insurer in different layouts, and expected commission is rarely checked against what was paid.
- 04
Claims chased from memory
Intimation, survey, documents and settlement are followed up by phone, with no list of what is pending and with whom.
- 05
Documents scattered
Policy copies, KYC and vehicle papers live in WhatsApp chats and email attachments, hard to find when the client calls.
What we build for you
- 01
Client and family records
Individuals linked into families and businesses, so one page shows everything a household holds.
- 02
Policy register across insurers
Insurer, product, policy number, sum insured, premium, nominee and dates for every policy you service.
- 03
Renewal calendar and reminders
Upcoming renewals by week, with reminders to the client and a task for you at the interval you choose.
- 04
Commission tracker
Expected commission by policy and insurer set against statements received, with differences listed.
- 05
Claim follow-up board
Each claim by stage and days open, with documents requested, the next action and who owns it.
- 06
Document vault
Policy copies, KYC and claim papers stored against the client, with access limited by role.
- 07
Agent phone app
Quick lookup of a client, policy or document from the road, with calling and WhatsApp in one tap.
Renewals pay the bills
For most insurance agents the new sale is the exciting part and the renewal is the income. A motor policy comes up every year, a health policy every year, a life policy at every premium date, and each one that lapses is a client you must win back or lose. Yet many agents track these dates in a diary, a phone's contacts and a half-maintained Excel sheet. That arrangement works only as long as the person updating it remembers to.
One client, four insurers
Consider an agent in Trichy who services a family of five. The father's term plan is with one insurer, the mother's health cover with another, two cars with a third and the son's two-wheeler with a fourth. Each insurer has its own portal, its own policy format and its own statements, so finding the family's full position means four logins.
We build the working record that sits above those portals: one family page showing every policy with its insurer, premium, sum insured, nominee and next due date.
Inside the working record
- Clients and families. Individuals linked into households and businesses, with contact preferences and language.
- Policies. Insurer, product, policy number, sum insured, premium and dates. Motor records carry vehicle details and no-claim bonus status; health records carry the members covered.
- Renewals. A calendar of what falls due in the next thirty or sixty days, with WhatsApp reminders to clients who have agreed to receive them, and a task for you at the interval you choose.
- Commission. Expected commission per policy, worked out from the rates you enter, set against what each insurer's statement actually paid, with differences listed for follow-up.
- Claims. Each claim by stage and days open, with the documents requested and who owes the next step.
- Documents. A vault with policy copies, KYC and claim papers filed against the client and visible to staff by role.
The limits, stated plainly
We do not connect to every insurer's portal and will not promise to. Insurers differ in what they allow, and many give an individual agent nothing more than a login. The practical route is structured entry by your staff, plus bulk import from the policy schedules and commission statements you already download. The software is your working record, while the insurer's own system remains the record of the policy itself.
We also give no insurance advice and no opinion on what the regulator requires of you. Policy and KYC records are personal data. Staff see only what their role needs, and what the DPDP Act asks of an agency your size is a question for your own adviser.
A sensible price, and when a CRM will do
A client, policy and renewal tool typically starts around ₹50,000. Adding commission reconciliation, claims and the document vault moves it towards ₹1,50,000. An Android app for use on the road typically starts around ₹65,000.
If you service a small book with one product line, a ready-made CRM and a disciplined reminder habit may be all you need, and our comparison of custom CRM versus Zoho CRM shows how to decide. The case for custom is the agent with several insurers, family-wise servicing and commission reconciliation that no general CRM models well. Our CRM software page explains the engine underneath, and the finance industry page places this among related trades. We would start with the client and renewal pages and add commission and claims once the first month of reminders has proved itself. To judge the fit, send VS Tech Builders a renewal list with the names removed, and we will say honestly whether a tool or a spreadsheet suits you better.
Frequently asked questions
Can it pull policy data directly from insurer portals?
Not reliably, and we will not promise it. Insurers differ in what they offer to individual agents, and many provide only a portal login. The practical approach is structured entry by your staff and bulk import from the policy schedules and commission statements you already download. If a particular insurer offers an agency API, we can assess it, but that would be scoped and priced separately.
How do renewal reminders reach clients?
Through WhatsApp messages sent via the WhatsApp Business platform, with the wording and timing you choose, such as thirty days and seven days before the due date. You also get a task list of calls to make. The messaging provider bills you for volume. Clients who prefer a call are marked, so their reminder becomes a task for you instead of an automatic message.
Is our clients' data safe in a custom system?
Access is by role, connections are encrypted, backups run regularly and every view or change of a client record is logged. No system is risk-free, so restrict who may export data and ask your adviser what the DPDP Act means for an agency like yours. The source code and accounts are handed over on final payment, so your data is never locked in.
Can the system calculate my commission automatically?
It works out expected commission from the rates you enter for each insurer, product and policy year, then compares that with what each statement paid and lists the differences. We do not know your rates, and they change, so they are settings you maintain. The comparison is a check, not a guarantee, and the insurer's statement remains the authority on what is owed.
