Transport software built around proof, not paperwork
Booking, driver apps, proof of delivery, fleet records and freight billing for transport companies, parcel operators and distributors running their own vehicles.
Logistics software for transport businesses records each consignment from booking to delivery, captures proof of delivery on the driver's phone, tracks trip expenses and raises freight bills. It suits lorry operators, parcel and courier businesses and distributors with their own fleet who are losing time and money to missing paperwork.
The challenges we hear most
- 01
Proof of delivery disputes
Paper PODs go missing and photos sit on drivers' phones, so freight payments are held until someone can prove the delivery happened.
- 02
Where-is-my-load calls
Customers ring the office, the office rings the driver, and nobody has a shared view of which consignment is where.
- 03
Trip expenses that never tally
Diesel, tolls, driver bata, advances and roadside repairs are recorded on slips and settled from memory at the end of each trip.
- 04
Freight bills raised late
Invoices are prepared days after delivery from a separate register, so outstanding amounts are always out of date.
- 05
Dead zones on the route
Apps that need a live connection fail on highways, ghat roads and inside godowns, exactly where deliveries happen.
What we build
- 01
Booking and LR generation
Consignment entry at every branch with LR numbers, packages, weights and charges, printed or shared digitally.
- 02
Driver app with POD
Photo, signature or OTP proof captured offline, stamped with time and location, uploaded when the signal returns.
- 03
Consignment tracking link
Status by milestone for your staff, and a tracking link or WhatsApp update for each customer.
- 04
Fleet and trip sheets
Trips, diesel, tolls, driver bata, maintenance and expiry reminders for FC, permits and insurance.
- 05
Freight billing and outstanding
GST invoices raised from delivered consignments, with party-wise outstanding and ageing.
- 06
Branch and hub dashboard
Loads booked, in transit, delivered and awaiting POD, by branch and by day.
Every argument in transport ends with "show me the proof"
A consignee in Tirunelveli says three cartons arrived crushed. The consignor in Chennai wants the freight held until it is sorted out. Your driver remembers a normal delivery and took a photo, but it was on a phone he has since replaced. The payment for that trip now waits on an argument nobody can win. Small transport businesses lose real money this way, in held payments, written-off claims and hours on the phone, and almost all of it is a record-keeping problem rather than a trucking one.
What transport owners get wrong when they buy software
- Treating a GPS tracker as a system. A tracker tells you where the truck is. It does not tell you which consignments are on it, whether they were delivered, or whether the freight bill has gone out.
- Choosing a driver app built for office staff. English-only screens, small buttons and long forms guarantee that drivers stop using it within a fortnight.
- Assuming constant signal. Highways, ghat roads and the inside of godowns all have dead zones. An app that needs the network to save a delivery will lose deliveries.
- Keeping billing apart from trips. When freight invoices are raised from a separate register, they go out late and outstanding amounts drift.
The parts of a working transport system
VS Tech Builders builds logistics software as connected pieces, so you can start with one and add the rest later. Courier and transport operators wanting more trade detail can read our page on software for logistics companies.
- Booking and LR generation at every branch, with consignor, consignee, packages, weight and charges.
- A driver app that captures proof of delivery as a photo, the receiver's signature or an OTP, stamped with time and location.
- Consignment status visible to your office and, through a tracking link, to your customers.
- Fleet records covering trip sheets, diesel, tolls, driver bata and advances, plus reminders before an FC, permit or insurance policy expires.
- Freight billing raised straight from delivered consignments, with party-wise outstanding and ageing.
Where you already have hardware trackers, we can bring their location data into the same screens if the provider offers an API. Our glossary note on GPS tracking explains how phone tracking and device tracking differ.
Designing a driver app that survives the highway
The driver app is where these projects succeed or fail. It has to run on an inexpensive Android phone, use very little data, show Tamil or Hindi labels and need no typing beyond the occasional number. It must save everything on the phone first and upload when the signal returns, recording both the moment of delivery and the moment of upload so a late sync is never mistaken for a late delivery. That is why we build these as offline-first apps, and why our guide to building apps for staff who work on the move spends so long on training and adoption.
Costs and the order to build in
A focused driver and proof-of-delivery app costs ₹1,00,000 to ₹2,50,000 and takes 6 to 8 weeks. A full system with booking, fleet, billing, a customer tracking page and an admin dashboard falls between ₹2,50,000 and ₹6,00,000 over 10 to 16 weeks. A sensible order is proof of delivery first, because it releases held payments; trip expenses second, because that is where leakage hides; and the customer tracking page third, because it cuts the "where is my load" calls. Every project includes a 14-day correction window after launch, and an optional maintenance retainer is worth considering while drivers are still getting used to the app.
Frequently asked questions
Do we need GPS devices in every truck, or is the driver's phone enough?
They do different jobs. A phone reports location only while the app is running and the phone is switched on, and a driver can turn it off. A hardware tracker reports continuously and is harder to tamper with. Many fleets use both: the device for movement and alerts, the phone app for consignment status and proof of delivery. If you already have trackers, we can usually bring their data into the same screens.
Our drivers are not comfortable with smartphones. Will an app work?
It can, if it is designed for them rather than for the office. That means picture-led screens, three or four large buttons, labels in the driver's own language, and no typing except a number when it cannot be avoided. We test early versions with your actual drivers and change whatever confuses them. When the app is that simple, a short session at the depot is usually enough training.
How does proof of delivery work without internet?
The app saves the photo, signature or OTP, along with the time and GPS position, on the phone the moment the delivery is completed. When the phone next finds a signal, it uploads everything automatically. The record keeps both the delivery time and the upload time, so a driver who syncs three hours later is never mistaken for one who delivered three hours late.
Can our customers track consignments without calling us?
Yes. Each consignment can have a tracking link, opened with the LR number, that shows its status from booking to delivery along with the proof once it is captured. Regular customers can also receive WhatsApp updates at pickup, dispatch and delivery. Corporate clients who send many loads get their own login, where every consignment, invoice and POD sits in one place.
