Education software that teachers use and parents trust
School systems, parent apps, course platforms and websites, designed around the teachers, parents and office staff who open them every day.
Education software covers the systems an institution runs on: admissions, fees, attendance, exams, parent communication, online courses and certificates. VS Tech Builders builds them for schools, colleges, coaching centres and training academies whose rules have outgrown packaged software, including Cambridge School Madurai and CertTulen Academy.
The challenges we hear most
- 01
Fees tracked in registers
Fee heads by class, route and concession, part-payments and sibling discounts live in ledgers and Excel, so nobody can say what is outstanding today.
- 02
Teachers buried in clerical work
Attendance registers, marks entry, report cards and the same figures retyped for board, university and UDISE+ returns eat into teaching time.
- 03
Parents reached only by group
WhatsApp groups carry circulars well, but a fee due, a child's absence or a mark sheet is private business, and every parent's number is on show.
- 04
Admissions enquiries that go cold
Calls, walk-ins and ad responses peak for a few weeks a year, land with whoever answers, and are rarely followed up a second time.
- 05
Courses sold by hand
Academies and coaching centres take registrations on forms, payments as UPI screenshots and issue certificates in Word, one learner at a time.
What we build
- 01
School management system
Admissions, attendance, fees, exams, transport and hostel on one student record, organised branch by branch.
- 02
Parent and student app
An Android app for absence alerts, homework, fee reminders and payments, delivered privately to each family.
- 03
Course and LMS platforms
Catalogue, cart, online payment, batch schedules, tests and certificates for academies and coaching centres.
- 04
Admissions enquiry tracker
Every enquiry logged with its source, a follow-up date and a named counsellor, plus a daily list of who to call.
- 05
Institution websites
Admission pages, news, circulars and galleries that the office updates itself through a simple CMS.
- 06
Library and online tests
Library loans and fines linked to each student, plus chapter tests and mock exams that score themselves.
Four institutions, four different problems
"Education software" sounds like a single product. It is not. A school, a college, a coaching centre and a training academy share a vocabulary of students, fees and exams, but the problem that keeps each owner awake is different, and the right system starts from that problem rather than from a feature list.
- Schools live and die by the fee office and the relationship with parents: fee heads by class, route and concession, instalments, defaulter follow-up, and a steady flow of notices to families who expect answers the same day.
- Colleges carry the weight of affiliation: semesters, credits, internal assessment marks, university exam registration and departments that each want their own reports.
- Coaching centres run on enquiries and batches. Students join for a few months, so admissions never really stop, and parents judge the centre by test scores and rank lists.
- Training academies sell courses to working adults and companies, often online, so their core is a catalogue, a cart, payments, schedules and certificates.
Why education software gets abandoned
School software is rarely thrown out by the management that bought it. It is abandoned, quietly, by the teachers who were meant to use it. If marking attendance on the new screen takes longer than ticking a paper register, the register is back within a month and the expensive system shrinks into a fee-receipt printer. The second cause is timing: a system switched on in the middle of a term has to absorb half a year of paper fee records, and nobody trusts the outstanding amounts it shows. The third is the sales demo that dwells on the principal's dashboard and never opens the screen a class teacher will use every working day.
So when you evaluate any vendor, including us, ask to see two screens before anything else: the teacher's attendance screen and the fee clerk's receipt screen. Those two decide whether a system survives its first term.
What we build for institutions
Depending on which of the four you run, VS Tech Builders builds some combination of these:
- A school management system covering admissions, attendance, fees, exams, transport and hostel, organised branch by branch.
- A parent and student app on Android for the private messages a WhatsApp group should never carry, such as a note that a child missed school or that a fee instalment is due.
- Course platforms for academies and coaching centres, with a catalogue, online payment, batch schedules, tests and certificates.
- An enquiry tracker for admissions season, so every call and walk-in gets a follow-up date and a named counsellor.
- The institution's website, with admission forms, news and circulars the office can update without phoning a developer.
Work you can check
For Cambridge School Madurai we built both the multi-branch school website and the school management system behind it, so the public face and the office records come from one team. For CertTulen Academy, a Microsoft Training Services Partner, we built an LMS and admin platform with a cart, online payments, HRD Corp claims and certificates, serving learners in India, Malaysia and Singapore. We also built the website for TechSpire Global Academy, a training academy. Together they cover a school, a corporate training provider and an academy, which is most of the ground on this page.
Budget and the academic calendar
An institution website on our published plans costs ₹13,999 for five pages, ₹20,999 for ten, or ₹28,999 for twenty pages with a CMS and blog, which suits schools that post news and circulars every week. Office systems built around your own rules typically start around ₹85,000 for one campus. Adding exams, transport and hostel usually brings the total to between ₹1,50,000 and ₹5,00,000, and multi-branch setups with apps go above ₹5,00,000.
The calendar matters as much as the budget. A build takes 8 to 16 weeks, so begin discovery in the term before you want to switch, load opening fee balances during the break, and go live on the first day of a term rather than a few weeks into it.
Where to start
If you run one school of modest size with a simple fee structure, a ready-made subscription will probably serve you better, and our comparison of custom school ERP and ready-made school software explains where the line falls. If your fees, branches or courses refuse to fit a template, start with whatever hurts most, which is usually fees for schools and enquiries for coaching centres, and add the rest one term at a time.
Cambridge School Madurai
A school website paired with a complete management system running across multiple branches, with hardware-bound licensing and a fully resale-ready architecture.

We run one school with about 400 students. Is custom software worth it?
Often it is not. A ready-made school subscription handles attendance, simple fees and report cards well and costs less. Custom software starts to pay off when your fee structure has many heads and concessions, when you run transport or a hostel, when you have more than one branch, or when the subscription forces the office to keep a parallel Excel sheet. That parallel sheet is the clearest sign you have outgrown the template.
When in the academic year should we switch systems?
Begin discovery in the term before you want to change, so the build finishes during a break. Load student records and opening fee balances while classes are off, train teachers in the last week of the holiday, and go live on the first day of term. Keep the switch away from admissions season and exam weeks, because the office has no spare hours then and every small error feels twice as large.
Can a training academy sell courses and issue certificates from one platform?
Yes. That is the shape of the platform we built for CertTulen Academy: learners choose courses, pay through a cart and receive their certificates on completion, while administrators manage enrolments and HRD Corp claims for Malaysian employers. A smaller academy can begin with the catalogue, payments and certificates, then add corporate billing and claims once company clients arrive.
How do you make sure teachers actually use the system?
We design the teacher's screens first and test them with real teachers before the office screens are finished. Attendance should take less time on a phone than on paper, marks entry should follow the order of the answer scripts, and nothing a teacher does daily should need a laptop. Weekly demos during the build include a teacher or two, not just the principal, so problems surface while they are still cheap to fix.
